The problem
Social media and ads brought interest, but people asked about programs without booking a consultation. Inquiries lived in messages and spreadsheets, and booked prospects sometimes forgot to show up.
What we did
We built a consultation funnel with a clear booking step, organized every inquiry by stage in GoHighLevel, and added confirmations, reminders, easy rescheduling and a short nurture sequence.
What stayed human
Coaches still discussed goals, explained programs and recommended plans. Health questions, objections and membership decisions stayed personal.

Business impact
The studio gained four additional paying members a month—a 44.4% increase—without more inquiries.
The main improvement is getting more prospects to book and attend. The consultation close rate rose modestly, from 50% to 52%.
Time saved: at 60 inquiries per month, cutting manual scheduling, reminders and CRM updates from 12 to six minutes per inquiry saves six hours. After one hour for workflow checks, net savings equal five hours monthly.
