The problem
Onboarding meant repeated emails, manual tasks and constant status checks. Client details arrived in separate messages, and account managers kept checking whether forms, brand assets and kickoff bookings were done.
What we did
We built an onboarding pipeline in GoHighLevel. When a deal is won, a workflow sends the intake form and kickoff link, assigns the account manager, creates tasks and chases missing items.
What stayed human
Account managers still reviewed the brief, confirmed scope and led kickoff meetings. A submitted form never meant a client was automatically ready for delivery.

The changes
| Onboarding task | Before | After |
|---|---|---|
| Request information and track outstanding items | 12 hours | 4 hours |
| Schedule kickoffs and send reminders | 6 hours | 2 hours |
| Create records, tasks and internal handoffs | 9 hours | 3 hours |
| Review intake completeness | 9 hours | 6 hours |
| Additional workflow checks and maintenance | — | 2 hours |
| Total administrative time | 36 hours | 17 hours |
36 baseline hours − 15 hours of remaining administration − 2 hours of workflow maintenance = 19 net hours saved monthly.
Business impact
The new workflow saves 19 staff hours monthly—a 52.8% reduction in the onboarding administration measured.
At 12 new clients per month, administrative time falls from three hours to about 1.4 hours per client. At unchanged volume, that is 228 hours a year.
Account managers now spend that time on client communication and project preparation instead of chasing paperwork.
Figures cover onboarding administration only.
